Under the supervision of the Senior Vice President of Operations, serves as on-site network administrator managing servers to ensure network and data integrity.



A. Network/System Administration

1. Maintain network infrastructure including servers, file structure, switches and routers, diagnosing and repairing problems as required

2. Maintain file servers including but not limited to Cabinet, CYMA, Lytec, Virtual server(s) and domain controller

3. Plan for and respond to internet service outages

4. Research, purchase and install computer equipment and software 

5. Troubleshoot and repair computer hardware and software problems for all staff

6. Maintain/troubleshoot email accounts for all staff

7. Monitor daily backup of server(s)

8. Serve as the Chairman of the Automation Committee

9. Maintain line of communication with contracted, off-site network administrator

10. Ensure license compliance for all network and computer related software


B. Maintain employee database

C. Create and maintain listserv

D. Maintain agency mailing & email databases

E. Participate in all CQI activities and promote CQI with staff



A. Troubleshoot telephone and/or voice mail problems coordinating with service providers when necessary

B. Manage websites, u-tube postings and Facebook in coordination with the Marketing Coordinator

C. Research, evaluate and present new technology as necessary to the Leadership Team

D. Maintain list of direct lines; assign to new staff as needed; manage eManager and Stratagy software

E. Assign/maintain long distance security codes

F. Maintain/service fax machine(s) and printer(s)

G. Remove staff suggestions and submit to President on a monthly basis

H. Remove donation money from kitchen and submit for bank deposit

I. Assist with the security camera installation, monitoring, play-back, when required

J. Other duties as properly assigned

K. Staff must perform in a manner that is supportive to the cultural needs of the population(s) served by the program or service



Bachelor’s degree in computer science preferred; Five years Network or System management experience required; Excellent written and oral skills; Ability to multi-task; Ability to  work well under pressure and maintain a professional manner with staff and the public.

Executive Assistant to the President & CEO

Under the supervision of the Senior Vice President of Operations, assists the President & Chief Executive Officer with on-going and special projects.  Assists with the day-to-day operations  and various activities as required by the President & CEO.



A. Scheduling Duties/Meetings Preparation

1. Update/maintain Outlook calendar and contacts database.

2. Schedule appointments/meetings for President & CEO.

3. Prepare weekly notebook with all materials/handouts for all meetings.


B. Conference/Training Workshop/Speaking Engagement Preparation

1. Make travel arrangements for President & CEO—including airline, rental car, hotel reservations and conference registrations—for 8–12 conferences and/or speaking engagements per year

2. Create/pack a travel file including: daily trip schedule, printed travel confirmations, map quests, correspondence, training materials, presentation thumb drives, etc. 


C. Area Agency on Aging Board of Directors Meeting Preparation

1. Prepare Board Meeting agendas/meeting packets, and set up conference room.

2. Take/type Board Meeting minutes.

3. Assist with Other Boards and Advisory Councils as assigned.


D. Area Agency on Aging (AAA) Directors Quarterly Meeting Preparation

1. Coordinate with other AAA Directors to determine 2-day meeting dates

2. Schedule meetings for AAAs with State Directors.  (Example: Directors of DES, AHCCCS, DHS, Attorney General, Governor’s Policy Advisors, etc.) 

3. Coordinate with the AAA Directors to prepare/type meeting agendas

4. Coordinate meeting set-up with administrative staff. 


E. Outgoing Reports Log Maintenance

1. Prepare the new Outgoing Reports Log each fiscal year to reflect all Agency report deadlines.

2. Collect/follow up on monthly, quarterly and annual reports from all Agency staff and record on Outgoing Reports Log to ensure on-time submission.

3. File all outgoing reports.


F. Perform routine, ongoing administrative tasks for the President & CEO:

1. Assist with Agency credit card bills reconciliation

2. Assist with reimbursement claims as needed 

3. Prepare quarterly and annual lobbyist expenditure reports

4. Maintain memberships/subscriptions renewals


G. Copyrights/Trademarks

1. Coordinate with agency attorney to maintain all agency copyrights/trademarks.

2. Maintain agency copyright/trademark files.

3. Notify staff on correct usage of copyright/trademarks in written materials.


H. Files Maintenance:

1. Maintain ongoing notebook files for the President & CEO:

a. Area Agency Board of Directors, ELDERfriends® Board of Directors, DOVES® Board of Directors, Antigua LLC, Investment Advisory Group, Area Agency Advisory Council.

b. DES-DAAS Correspondence, Alerts and Contract Amendments notebooks.

c. All commissions, task forces, etc. for which President & CEO is a member. 

d. Leadership team meetings and monthly reports notebooks or files.

2. Maintain project notebooks and files for the President & CEO as needed.

3. Organize/maintain an e-mail file/archive for President & CEO.


I. Organizational Projects

1. Maintain inventory of 3rd-Floor cabinets containing staff gifts/giveaways. 

2. Maintain 3rd-Floor Storage room containing 40 years of agency archives.

Education: High school diploma minimum, Associates or Bachelor degree preferred.  At least five years’ experience in executive administration; Excellent customer relationships with internal staff, boards and external stakeholders; professional telephone skills with strong screening techniques; well organized; detail oriented; capable of establishing and maintaining efficient filing system; takes responsibility to get assigned jobs done accurately and in a timely manner; self-starter; excellent writing skills; ability to manage multiple tasks; ability to anticipate work demands and adjust schedule accordingly; works well under pressure; high ethical standards including maintaining strict confidentiality; high degree of commitment to position; Applicant must appreciate the population’s cultural and socioeconomic characteristics.

ElderVention Program Director

Under the direction of the Vice President of Program Development provides coordination, oversight and direct involvement in developing and implementing behavioral health programs and services in a manner consistent with the Area
Agency on Aging’s Mission Statement and Area Plan goals and objectives.

Major Duties: 

Coordinate and oversee daily operations of ElderVention Clinical Services to ensure compliance with ethical, legal, and clinical guidelines for Behavioral Health programs.

Serve as Clinical Director for ElderVention Clinical Services
Approve and monitor all treatment plans for clinical service recipients.
Review all closed cases and unusual occurrences in clinical programs.
Oversee daily operations of ElderVention Prevention services to ensure compliance with established policies, procedures, and guidelines for prevention programming.
Screen in-home referrals and assign to staff as appropriate.
Monitor service delivery, documentation, and outcome measures for all services; report results and offer suggestions for improvement.
Coordinate all monthly, quarterly, and/or annual Agency, Funder, and Contractor reports according to established timelines. 


Masters degree in social work, psychology or related field from an accredited college or university required; Behavioral Health Licensure inthe State of Arizona; Minimum of five (5)
years experience providing behavioral health services, with at least two (2) years direct working experience with older adults; Three (3) years experience in the supervision and management of staff; Previous experience in providing prevention  education and allied services; Experience in grant research and writing preferred; Experience inmanaging multi-agency projects or programs preferred; Knowledge of Aging Network and Behavioral Health Systems preferred; Valid
Arizona driver's license and reliable transportation.
